The Organization PAPS , a Specified Non-Profit Corporation (“the Organization”), complies with the Act on the Protection of Personal Information, related laws and regulations, national guidelines, and other applicable standards regarding the handling of personal information. The Organization has established this Privacy Policy as set forth below and will endeavor to handle personal information appropriately.

 
1. Collection of Personal Information

When collecting personal information, the Organization will endeavor to clarify the purpose of use and will obtain personal information by lawful and fair means.

2. Use and Provision of Personal Information

2-1. Public Relations, Prevention, and Awareness-Raising Activities

 

The Organization may use the personal information it collects within the scope of the purpose of use indicated at the time of collection, including use within a scope reasonably related to that purpose, and for the following purposes:

  • To request support, cooperation, or assistance for the Organization’s activities

  • To provide activity reports and event announcements

  • To distribute email newsletters

  • To send receipts and letters of appreciation

  • To contact you when it becomes necessary for the Organization to do so

2-2. Consultation and Support Services


With regard to the use of personal information of persons seeking consultation, the Organization will not provide such personal information to third parties except in the cases listed below. The Organization will not use personal information beyond the scope of its original purpose of use; however, as exceptions, it may use such information within the scope of the following purposes:

  • When consent has been obtained from the person seeking consultation

  • When multiple cases are compiled and generalized in a way that does not identify any individual, from the perspective of preventing similar harm

  • When applicable under Article 3, Paragraphs 1 through 4

  • To contact you regarding the Organization’s consultation and support activities in general

  • To contact you when it becomes necessary for the Organization to do so

 
3. Provision of Personal Information to Third Parties


The Organization will not provide personal information to third parties without obtaining the prior consent of the individual, except in the following cases:

  1. When required by law.

  2. When it is necessary for the protection of a person’s life, body, or property, and it is difficult to obtain the individual’s consent.

  3. When it is especially necessary for improving public health or promoting the sound development of children and young people, and it is difficult to obtain the individual’s consent.

  4. When it is necessary to cooperate with a national government agency, local public entity, or a person entrusted by such an agency or entity in carrying out duties prescribed by law, and obtaining the individual’s consent may interfere with the performance of those duties.
     

4. Management of Personal Information


The Organization will maintain personal information accurately and up to date, manage it securely, and take necessary and appropriate measures to prevent loss, unauthorized access, alteration, leakage, and other risks involving personal information.

5. Requests for Disclosure, Correction, Suspension of Use, etc.


If the Organization receives a request from an individual regarding personal information held by the Organization, including disclosure, correction, addition, deletion, suspension of use, erasure, suspension of provision to third parties, or notification of the purpose of use under the Act on the Protection of Personal Information, the Organization will verify that the person making the request is the individual concerned and respond appropriately. 6. Education and Supervision of Staff


When staff members handle personal information, the Organization will implement ongoing personal information protection measures to ensure the secure management of such information and will provide appropriate supervision of its staff.

7. Revision of the Privacy Policy


The Organization may revise this Privacy Policy as necessary to ensure the effective protection of personal information.
